Nexus bot privacy policy.
This is the privacy policy for the Nexus Discord bot and its private operator dashboard, effective October 17, 2026. My portfolio website has a separate policy at /privacy and vertex has its own at /vertex/privacy/.
Plain English. No legalese. If something here is unclear, message me on Discord or use the contact form at thyfwxit.com/contact.
Who I am
I am Xavier Scott (alias THYFWX), the server owner and sole operator of Nexus, a community AI bot running in one Discord server, plus a private dashboard that only I use. I run Nexus on my own machines: a GPU desktop, a small laptop, and a few home servers.
Why Nexus uses information
I use the information described here so Nexus can answer member questions, remember short lasting conversational context, run reminders and community features (birthdays, invites, voice stats, reaction roles), show server activity on my private operator dashboard, and help manage moderation and server safety.
Where data is processed
- Local AI replies: since October 16, 2026, member chat replies use AI models on my machines. I store Nexus's records on my machines; Nexus also works through Discord, so replies, DMs, and exports pass through Discord.
- Operator messages only: my own messages can use hosted AI models, and that setting applies only to me as the operator, never to members.
- Local memory extraction: memory facts are extracted from channel messages by the same local models on my machines.
- Local harassment check: a local model checks messages for harassment and sends flags privately to me. Discord's AutoMod also runs in the server.
- Voice transcription: Nexus transcribes voice speech on my laptop and does not save audio recordings.
What goes to outside services
Three features send text to outside services, which may process or keep what they receive:
- Web search: when a member asks something that needs the web, the first 200 characters of the question go to search engines (a self hosted SearXNG instance that queries Google, Bing, DuckDuckGo, and Brave; DuckDuckGo directly; and Exa only if configured). If you set a city and ask a local question such as weather or nearby places, your city is added to the search query.
- Fact check: when Nexus is not sure of a fact, the question goes through a scrubbing step and is searched on the web through Gemini search, Wikipedia, SearXNG, Firecrawl, and DuckDuckGo; Nexus doesn't send your identity as a separate part of the query, but the question itself may contain identifying details.
- Image generation (
/imagine): your image prompt goes to an image service (Gemini image generation or Pollinations).
How I limit data use
- No AI training, sales, or ad sharing: I do not use your Nexus data to train or fine tune AI models, sell it, or share it for advertising. This policy doesn't describe the outside services' own practices.
- No AI bios or social graphs: since October 16, 2026, Nexus no longer creates AI biographies, personality reads, or "vibe" labels, and keeps no map of who talks to whom (any previously stored ones were deleted); it does keep the account details, facts, and activity records listed on this page.
What is stored on my machines
- Saved lines: what members say in public channels (excluding staff, mod, admin, log, and ticket channels), first 280 characters, and what they say in DMs with Nexus. Lines older than 14 days are scheduled for deletion, except your 30 most recent saved lines can stay past 14 days until replaced or deleted.
- Facts: up to 15 facts from channels and up to 15 from DMs (interests, and birthday or city only if the member said it), used only to answer that member. Facts have no automatic time limit; they are removed by
forget meor the leave process. - Member profile: display name, avatar link, roles, join time, presence, and current voice channel, used for my private dashboard and updated as Nexus receives changes from Discord.
- Activity: voice time and stats, who invited whom, reply counts per member, birthday, reminders, and reaction role state.
- City: stored only if you set it. The separate city setting is removed by
forget my cityorforget me, but a city you mention in chat may also be in saved lines or facts. - Image requests: prompt and result log, kept for 30 days, at most 200 entries.
Safety records and why they are kept
To protect the community, handle moderation, and prevent abuse, Nexus keeps these safety records:
- Warnings, offenses, and timeouts
- Jail role snapshots (a jail snapshot lasts only while someone is jailed)
- Moderation actions and their reasons
- Harassment flags (up to 400 characters of the flagged message, newest 50 kept)
- Moderator application records
- The DM blocklist
- Ban notes (when, why, by whom, and a summary of the warnings and flags that led to it)
Warnings, offenses and timeouts, harassment flags, and moderation actions are deleted automatically once 6 months pass with no new incident for that member. A jail snapshot lasts only while someone is jailed. A ban note is deleted 1 year after the ban. Moderator application records and the DM blocklist are kept while they are needed (an open application or its waiting period, or an active block). forget me doesn't erase safety records by itself: it sends me a request, and I review it and delete them unless I still need them for an active ban or a safety problem. You can also ask me directly.
Retention when you leave, are kicked, are banned, or rejoin
- Leave or kick: Nexus removes your voice stats when it processes the event and schedules the rest (except safety records) for deletion after 7 days. Outages can delay this.
- Ban: Nexus keeps a ban note and schedules the rest (except safety records) for deletion after 24 hours; if you are unbanned first, the 7 day rule applies. Outages can delay this.
- Rejoining before deletion: Nexus removes your old records (except safety records) when it processes your rejoin, so you start fresh. Outages can delay this.
Data deletion policy, viewing your notes, and data export
You can see and control what Nexus holds about you by sending a DM to Nexus while it is online:
forget me(DM Nexus; it asks you to confirm): after confirmation it removes your saved lines, facts, city setting, birthday, voice stats, invites, reminders, and profile data from Nexus's active records, and sends me a review request for any safety records. It doesn't remove existing backups. Contact me if it fails or you want anything else removed. Commands work when Nexus is available.forget my city(DM Nexus): removes the separate city setting, though a city you mention in chat may also be in saved lines or facts.what do you know about me(DM Nexus): shows you your saved notes.export my data(DM Nexus): sends a JSON copy of the records Nexus holds about you to your Discord DM, with a 10 minute cooldown; contact me if something seems missing.
You can also contact me directly if you have questions or requests about records that automated commands do not remove.
Backups
Backups are scheduled nightly and kept on my machines for 14 days; deleted information may remain in those backups until they rotate out, and a backup failure can delay that.
Children
Nexus is for people who are at least 13 and meet any higher minimum age required in their country under Discord's rules. I do not knowingly collect personal information from children under 13. If you think someone under the minimum age has information in Nexus, contact me so I can look into it and delete it.
Your privacy rights
Depending on which privacy laws apply to you, you may be able to access, correct, get a copy of, or delete your information, or object to some uses. Use the commands above or contact me; corrections can be requested the same way.
Liability
To the extent the law allows, my total liability to you for all claims about this site, the Nexus Discord bot, vertex, or how I handle the information described here is limited to the greater of 50 US dollars or what you paid me to use them. The site, the Nexus bot, and vertex are free. This is the same single limit as in my terms and site privacy policy, not a separate one, and it doesn't limit anything the law doesn't let me limit and doesn't take away rights you have under privacy law.
Governing law
This policy follows the governing law in my terms. Nothing here takes away protections you have where you live.
Indemnification
Please use Nexus lawfully and only share content you have the right to share. Nothing in this policy asks anyone under 18 to pay me anything.
Changes
If this policy changes materially, I will update the effective date at the top of this page and, where possible, note what changed.
